Department Services
Please follow these guidelines when requesting services from Marketing & Communications:
- All work must be submitted through the online work request form.
- For posters, press releases and ads, the department requires a turnaround time of at least 3 working weeks. See below for detailed guidelines for poster presentations.
For brochures, publications and other requests, the turnaround time depends on the length and complexity of the piece, and the department's workload at the time. Please check with the department as far in advance as possible. Marketing & Communications Request Form
Annual project request form
Every year during the budget process, Marketing & Communications Annual Project Request Forms are distributed to all departments. Departments are asked to develop their list of requests, which will enable Marketing & Communications to create an annual project list so work can be scheduled in advance. Marketing & Communications may not be able to accommodate last-minute projects that are not included on the annual project list.
Media RelationsFor information on how to handle media requests or media contacts, please refer to the
Media Relations Policy.
Guidelines for poster presentations
All request for posters MUST be accompanied by a Marketing & Communications work request with all appropriate information filled in and the request MUST be signed by the DEPARTMENT HEAD and the DEAN. (Resident & Interns must have Program Director & Senior Associate Dean for Clinical Education signatures).
A minimum of three weeks lead time (15 business days) is required for each poster request, in order for the appropriate amount of time to be given to each presentation. Request will not be accepted if this three week time frame is not adhered to.
A copy of the instruction sheet (this is given out by the sponsor of the event and includes such things as overall size of presentation area, layout suggestions, type specifications etc.) for the specific event the poster is being displayed at needs to be attached to the Marketing & Communications work request.
PDF files
If a file is submitted as a PDF and is already laid out in the poster format, we can reduce the 15 days to 10. Please keep in mind that the PDF you send is in final format and no changes can be made from that point forth.
DO NOT lay your poster out in Power Point. It will not print correctly and the entire poster will need to be reformatted.
Text for poster
- All copy (text) must be FINAL and presented in two formats: 1) on disk in either Word Perfect or Microsoft Word (typed single space with no hard returns), and 2) a print-out of the text that is being supplied on disk.
- Make sure to include title and authors as well as all photo captions on disk and a print-out of each.
- All posters will have the college name included in the title as well as the college seal in the upper left corner.
- Final text should be clearly marked indicating the correct order (by section title) as it should appear on the poster.
- Text must be e-mailed or supplied on disk for all print materials.
Photos
- Each poster may have a maximum of 4-5 photos and they must be presented at the same time as the work request. Layout of poster will not begin until all photos have been received.
- All photos must be clearly marked with figure number and/or caption and for order and placement per sections of poster.
- A guideline or specification sheet must be attached to all requests. This is information supplied by the sponsors of the convention. This sheet will include information such as the size the poster should be, layout suggestions and guidelines, type specifications etc.
Graphs and charts
All graphs and charts must be presented on disk in either Microsoft Excel (save each graph or chart individually as Microsoft Excel 8.0/98 (or earlier) Workbook (*xls), Illustrator 8.0 (save each file as an Illustrator .eps file), or Sigmaplot (export file as an Encapsulated Post Script (.eps) file) accompanied by a print-out of each. If graphs and charts are created in any other application you will need to supply print-outs that will be scanned and placed as images in the poster. Using this method does not allow for clarity of text or lines. Charts cannot be imbedded in a Word file; they will not be able to be accessed.
Proofing
Once design/layout is complete each poster will be output (at a small size) for proofing. Once the proof is approved and signed off on the final large poster will be output. Each poster will have ONE proof cycle only.
****Please be sure to include the size of the poster on request form.
